Create & Maintain Commitments

in NUPlans Forecasting

Create a new commitment or subcommitment in NUPlans Forecasting in order to enter forecasts on that commitment.
Each commitment has a recipient and a provider budget grouping. The recipient budget grouping is the area receiving the commitment, and the provider is the area giving it to them. Your security access must include one of the budget groups you select.

Step 1: Add Commitment

Navigation: NUPlans Web > nu_forecasting > Applications > Commitments > Create Commitments folder > Add Commitment

  1. Select the Recipient Budget Grouping (cannot be modified after creation).
  2. Select the Provider Budget Grouping (cannot be modified after creation).
  3. Enter a Short Label (ex: Start-up support of Dr. Smith).
  4. Enter a Long Description (ex: The department has committed start-up funds for Dr. Smith, expected to be spent over the next five years).
  5. Select Recurring or Non-Recurring.
  6. Select the Commitment's State: Planned/Contingent, Active, Complete, Canceled, or Invalid.
  7. Select a Fiscal Year.
  8. Select the Commitment’s Grantor: Department, Division, PI, Dean/VP (prep file users) or Central Admin (budget office) (cannot be modified after creation).
  9. Select the Commitment Type and Subcategory (cannot be modified after creation).
  10. Select Parent commitment or Subcommitment (if applicable, cannot be modified after creation).
  11. Select a Linked Commitment (if you selected a Subcommitment above, cannot be modified after creation).
  12. Click Verify Status. Review the commitment status.
  13. Click Add Commitment. Click OK.

Step 2: Enter Commitment Details

Optional, enter additional details that aren’t part of the initial creation process.

Navigation: NUPlans Web > nu_forecasting > Applications > Commitments > Create Commitments folder > Enter Commitment Details

  1. Enter a Start Date and End Date.
  2. Select Use.
  3. Select Chart String(s 1-5).
  4. Select a Budgeting Flag: Copy to Budgeting or Do Not Copy (for FY’18 budget prep).
  5. Select a Roll Forward Flag: Roll or Do Not Roll
  6. Enter a Tag to run the Commitment Tag Report. Tags related items.
  7. Enter Originator’s name.
  8. Enter a file path to the location of any supporting Documentation.
  9. Enter any additional Comments.
  10. Select a Recipient Contact.
  11. Select whether you want to Send Email to Recipient Contact: Yes or No.
  12. Select a Provider Contact.
  13. Select whether you want to Send Email to Provider Contact: Yes or No.
  14. Select an Email Notification contact other than Recipient or Provider.

Step 3: Enter Commitment Amounts

Navigation: NUPlans Web > nu_forecasting > Applications > Commitments > Create Commitments folder > Enter Commitment Amounts

  1. Select/confirm the Recipient Budget Grouping.
  2. Select/confirm the Commitment.
  3. Enter/update Commitment amounts.
  4. Click Refresh Balances.
  5. Click Update Amounts. Click Continue. Click OK.
    • Review Error Message if you received an error.
    • Commitment contact(s) will receive an email when the updates to commitment amounts are successful.

Step 4: Approve Commitment

The commitment must be approved before you can enter forecast or actuals data on the commitment. Commitments must have a status of Active or Planned/Contingent to be approved.

Navigation: NUPlans Web > nu_forecasting > Applications > Commitments > Create Commitments folder > Approve Commitment

  1. Select/confirm the Recipient Budget Grouping.
  2. Select/confirm the Commitment.
  3. Click Approve Commitment. Click Continue. Click OK.
    • Commitment contact(s) will receive an email notification about the approval.
    • Approval takes place immediately.

Appendix A: Revise Commitment Amounts

You may update Commitment amounts and yearly financial data (Forecast and Actuals) as needed.

Navigation: NUPlans Web > nu_forecasting > Applications > Commitments > Maintain Commitments > Commitment Amounts > Revise Commitment Amounts

  1. Select/confirm the Recipient Budget Grouping.
  2. Select/confirm the Commitment.
  3. Click Load Current Amounts.
  4. Update Commitment amounts. Enter/update Forecast and current year Actuals once the Commitment has been approved.
  5. Click Refresh Balances.
  6. Enter Revision Comment (required if amounts are updated after initial entry).
  7. Click Update Amounts. Click Continue. Click OK.
    • Review Error Message if you received an error.
    • Financial data updates to Forecast and Actual rows, and updates to comments (cells in white) are applied immediately.
    • Commitment contact(s) will receive an email when the updates to commitment amounts are successful.

Appendix B: Enter Forecasts

Navigation: NUPlans Web > nu_forecasting > Applications > Commitments > Enter Commitment Forecasts > Commitment Forecasts > Enter Forecasts or Enter Forecasts by Commitment Type

  1. Confirm your Budget Group/Commitment source is selected in the Context.
  2. Enter Forecast for the appropriate Fiscal Year as needed. Or expand the Current FY Monthly Total consolidation to enter Forecasts monthly for the current fiscal year.
  3. Enter Comments as needed.
  4. Click Recalculate.
